The Family Advantage × Hoodo

Your ManyBuildings transition, explained

Hoodo will help The Family Advantage move from DoorLoop to ManyBuildings in a controlled way. The goal is to bring property operations and agreed workflows together, connect the systems you still need, and support your team through go-live.

This page is a plain-language explanation of the proposal and Statement of Work. It does not replace them. The signed Statement of Work and Master Services Agreement govern the actual engagement.

Costs

What you pay

1 · One-time implementation

$5,000 CAD

  • $2,500 due at signing
  • $2,500 due at go-live
  • No ManyBuildings subscription fee during the initial implementation period
  • Fees exclude applicable taxes and third-party charges

2 · Monthly ManyBuildings software subscription

Billing starts at go-live and is based on your total contracted portfolio. Pricing is progressive: each rate applies only to the doors in that band.

Active doorsMonthly price
First 100 doors$10.00 / door
Doors 101–300$7.50 / door
Doors 301–500$5.00 / door
Doors 501–750$3.50 / door
More than 750Custom portfolio agreement

Example: 72 active doors = $720/month. 400 doors = 100 × $10 + 200 × $7.50 + 100 × $5 = $3,000/month.

active doors

$720 CAD / month

  • 72 doors × $10 = $720

Estimate only. Taxes and third-party provider fees are not included.

3 · Optional services

There is no required operations retainer. After the 30-day stabilization period you can use the software with your own team, or add optional Managed Operations: operational oversight, workflow monitoring, exception handling, staff support, and coordination with Hoodo developers.

Up to 300 doors$1,500 CAD minimum
Doors 301–500Add $5.00 per door above 300
Doors 501–750Add $4.50 per door above 500
Doors 751–1,000Add $4.00 per door above 750
More than 1,000Custom portfolio agreement

Managed Operations does not include unlimited bookkeeping, leasing, maintenance dispatch, or other labour-intensive back-office work. Bookkeeping and accounting support can be quoted separately.

These services are not included or active unless both parties agree to them in writing.

4 · Additional development

Work needed to make the agreed implementation operate as described is included in the fixed implementation fee.

New workflows, integrations, or features outside the agreed scope require written approval and are quoted at $125 CAD per hour or as a fixed project.

What's included

What the implementation covers

DoorLoop transition

Move agreed active properties, units, tenants, owners, vendors, current/open balances, and agreed active documents. Older historical data may be archived rather than rebuilt transaction by transaction.

Property operations

Configure agreed rent and receivables, owner accounting, payables, maintenance, approvals, users, permissions, and reports.

Accounting setup

Configure agreed property-level and management-company views, management-fee and HST treatment, opening balances, and QuickBooks mapping.

Payment workflow

Select and test a replacement payment process for the agreed go-live scope. ManyBuildings does not move money — the bank or payment provider handles PADs, settlement, and payouts. DoorLoop should not be retired until the replacement workflow has been tested end to end.

Maintenance setup

One initial service catalogue with up to 25 activities, plus an annual recurring-maintenance framework for the agreed portfolio. Supports inspection, scope, owner approval, work orders, photos, time, cost, and property history.

Communications and documents

Configure agreed Gmail/Google Workspace connectivity and a secondary repository for agreed documents. Dropbox is subject to technical feasibility; Google Workspace is the fallback.

Training and support

Staff onboarding and 30 calendar days of managed stabilization after go-live, with Victor Medina as the primary operational contact.

How a maintenance job flows

  1. Request or inspection
  2. Scope and price
  3. Review and owner approval
  4. Work order
  5. Completion notes and photos
  6. Financial record and property history

Timeline

The target 30-day implementation

The 30 days start once Hoodo has the required data, credentials, third-party access, and customer resources. Delays in customer inputs or third-party approvals may change the schedule.

  1. Week 1

Review data, map workflows, confirm system access and payment path

  2. Week 2

Migrate active data and configure workflows, accounting rules, maintenance, users, and reports

  3. Week 3

Test real scenarios, resolve issues, and train staff

  4. Week 4

Validate balances, complete cutover checks, and prepare for go-live

  5. First 30 days after go-live

    Managed stabilization and staff support

What "go-live" means: the agreed core setup is working and validated. It does not mean every future feature or unrelated system is complete.

Your part

What The Family Advantage needs to provide

  • DoorLoop exports and current property, tenant, owner, vendor, and balance information
  • QuickBooks, Google, payment/banking, and other required access
  • Existing accounting rules, maintenance SOPs, price lists, and relevant documents
  • A primary decision-maker and staff time for questions, testing, data validation, training, and go-live approval
  • Required third-party accounts, consents, and approvals

Good to know

Not included in the fixed implementation

  • Rebuilding all historical DoorLoop transactions
  • QuickBooks Time or payroll automation and unsupported two-way QuickBooks functions
  • Tenant screening, lead aggregation, showing optimization, Follow Up Boss, SMS/phone integrations
  • Construction or other business-unit systems, multi-company dashboards, or unrelated workflows
  • Direct Dropbox replication unless technically supported
  • Third-party subscription, API, payment-processing, bank, e-signature, and storage charges
  • New work outside the agreed scope unless approved in writing
